Description of processing and reason for processing
Rebecca Lavin processes:

Personal data submitted through my website’s (lavinlanguages.com) contact form or via-email by parties interested in my services or submitting enquiries about me work, including but not limited to first name, last name, e-mail address, and other data submitted. Personal data sent to me via e-mail by prospective and current clients. The basis for processing is consent and/or legitimate interest.

Any personal data about data subjects included in documents to be translated/proofread/edited, etc. This is processed and stored as part of the project. This includes any reference materials provided. This data included in translation projects is sent back through the agreed channels only to the party commissioning the project, or, if agreed with the party commissioning the project, to a reviewer for a proofreading stage. This data is then sent back to Rebecca Lavin by the reviewer and then sent to the party commissioning the project via the agreed channels. After the translation is completed, the translation project is stored to maintain records of work completed. The basis for processing is legitimate interest to perform translation of materials or consent where the personal data is about those sending the work. Please be aware that, before sending me any documents for the purposes of translation and/or enquiries about my services, you must ensure that you have the necessary rights to send me the documents and that any data subjects mentioned or referenced in the documents with personal data have provided their consent for you to send the data to me, or you must inform me of the legal basis upon which you are sending me the data before sending it.

Personal data about my customers and their employees to answer their queries, update them on my capacity and what I am working on, answer/raise queries about jobs, to provide quotes, to send invoices, to draw up agreements and to follow up on announced projects. I also process data for my invoicing and accounting. The basis for processing is consent and/or legitimate interest.

Personal data about translator colleagues for engaging them in work, arranging to meet with them, receiving work from them, networking, sending and receiving invoices, drawing up agreements, following up on announced projects and raising queries. Types of data processed
I process information for the purposes mentioned above. I process information about prospective customers to answer their queries submitted via my website’s contact form or via e-mail. I process information from current customers and colleagues to maintain our business relationship and carry out the work requested, and I process any
personal information included in translation documents themselves. The data I process therefore includes:
• names, email addresses, telephone numbers, job roles from e-mails
• names, email addresses, telephone numbers, job roles from translation projects
• addresses and dates of birth from translation projects
• names, email addresses, telephone numbers and addresses provided by clients for drawing
up agreements and raising invoices
• signatures on contracts or from translation projects
• vehicle identification numbers from translation projects
• information for processing invoices (names, addresses, telephone numbers, tax numbers)

What happens to this data?
Personal data from e-mails is stored on a secure professional e-mail address and/or secure end devices. Personal data submitted through my website’s contact form is stored on a secure professional e-mail address and/or secure end devices, as well as on the website’s Wix portal, accessible by Rebecca Lavin. Personal data contained in translation projects is returned to the party who requested the translation via the channels requested. All data is stored on secure devices. Personal data contained within the translation project may be forwarded to a reviewer for a revision of the translation, but this is only done when agreed with the customer/company commissioning the project. In this case, the reviewer agrees to the confidentiality of the data. Wherever possible, personal data is removed from the files before sending them to the reviewer to reduce transmission of personal data. Personal data provided for invoices and agreements is used to draw up invoices and agreements. These agreements and invoices are sent to the customer. Invoices and the data contained in invoices may be sent to an accountant, lawyer or authorities for fulfilling my accounting and tax obligations via secure channels.
Your data protection rights
The right to access – You have the right to request copies of your personal data from me.
The right to rectification – You have the right to request that I correct any information that you believe is not correct or is incomplete.
The right to erasure – You have the right to request that your data is deleted, under certain conditions, if the reason for processing is consent.
The right to restrict processing – You have the right to request that I restrict the processing of your
personal data.
The right to object to processing – You have the right to object to me processing your data.
Please use the contact details below to exercise these rights. I will comply with these requests if they
do not contravene any legal requirements or legal bases.
Retention of data
Data processed for the purposes of responding to enquiries submitted via my website’s contact form is stored until the data subject asks for it to be deleted or until the purposes for storing it no longer apply, whichever is shortest.
Data contained in contracts are retained as long as the relevant contract is ongoing, and until the
contractual terms no longer apply.
Data obtained in e-mail correspondence with prospective clients, clients and customers is retained to process the order
and to respond to/submit immediate and subsequent queries about the job order/translation. This is
retained for up to 7 years, unless specified otherwise by a contractual relationship.
Data obtained as part of translation projects is retained as part of the translation project for up to 7
years as a record of work completed, unless specified otherwise by a contractual relationship.
Data in my financial records, including invoices, is retained for up to 10 years as a record of work
completed.
Data about translation colleagues from translation colleagues is stored while our working relationship is ongoing.
